The Administrative Assistant will provide administrative support to the Target Team Leader and will also manage key administrative functions within the Target CFT. This involves exercising discretion and independent discernment on key issues while assisting with the execution of daily activities, including handling a complex and dynamic global calendar and related logistics; coordinating domestic and international travel and processing expense reports and purchase requisitions. The individual will also provide similar assistance to the leadership team.
Responsibilities
- Leads and schedules meetings and appointments, provides onsite coordination, technical support, and tracking of action items.
- Anticipate needs and assembles the appropriate people and resources to provide solutions
- Handle contacts and understand who they are, which have priority and keeps track of communication needed for priority contacts.
- Field incoming requests; exercise strong judgment and discretion with highly confidential information, interacting with top-level contacts on highly sensitive information necessitating considerable use of tact, reasoning skills and partnerships, communicating and interacting with internal partner, external customers, internal and external partners and vendors.
- Lead, drive and execute on various team events, socials, offsite meetings, etc.
- Work cross-functionally to ensure communication is efficient and clear between teams.
- Handle logistics for visitors.
- Prioritizes assignments and tasks with minimal direction and has authority to delegate as appropriate.
- May perform a variety of other administrative duties such as processing invoices, purchase orders, human resources and budgets.
- Lead the management of key projects with the goal of delivering every project on time, within budget and within scope.
- Coordinate PO creation and management in regard to key business initiatives as well as office billing.
- A minimum of a high school diploma is required. An advanced degree is preferred.
- A minimum of one (1) year of relevant experience is required.
- Strong computer skills, including working with Microsoft Office suite is required.
- Experience in Ariba, eMarketplace, Aravo, Totality, and running budgets is preferred.
- Demonstrated ability to partner effectively with the team that as well as work collaboratively in our administrative assistant team is required.
- Must have strong interpersonal skills and be able to readily shift and adapt to changing priorities and demands.
- Customer and employee focused with proven ability to handle multiple tasks, and able to work under minimal supervision is required.
- Strong verbal and written communication skills, strong attention to detail, and outstanding problem-solving skills are required.
- This position is located in Minneapolis, MN and may require up to 10% travel.
